This Refund & Cancellation Policy governs all payments, counselling services, admission assistance, application support, documentation assistance, and other related services provided by Best MBBS Abroad (“Company,” “we,” “our,” or “us”).
By requesting our Services, making any payment, submitting an application, or engaging with our consultancy services, you acknowledge that you have read, understood, and agreed to the terms outlined in this Policy.
Interpretation and Definitions
Interpretation
Headings are provided for convenience only and do not affect the legal interpretation of this Policy.
Definitions
Company – Refers to Best MBBS Abroad, located at Central Plaza, Suite A9 – 41, Bepin Behari Ganguly St, Kolkata, West Bengal 700012, India.
Student / Applicant – Any individual seeking MBBS admission counselling, medical education guidance, admission assistance, or related educational services.
Parent / Guardian – A parent, legal guardian, or authorized person acting on behalf of a Student or Applicant.
Services – Includes MBBS counselling, medical college and university guidance, admission assistance, application support, documentation assistance, and other related educational consultancy services.
Advance Payment – Any amount paid to initiate, confirm, reserve, or continue a Service.
Refund – The return of an eligible amount paid by a Student, Applicant, Parent, or Guardian, subject to the conditions of this Policy.
Cancellation – A request by the Student, Applicant, Parent, or Guardian to discontinue or withdraw from a Service after payment or service initiation.
Third-Party Charges – Any fees, charges, deposits, application fees, institutional fees, processing fees, or other amounts payable to universities, colleges, application platforms, service providers, authorities, or other external parties.
General Refund Policy
- Payments made towards consultancy, counselling, admission assistance, application processing, or related Services are generally non-refundable once the relevant Service has commenced.
- Refund eligibility depends on the nature of the Service, the stage of processing, work already completed, and any Third-Party Charges already incurred.
- No refund shall ordinarily be provided for Services that have already been fully performed.
- Where a Service has been partially completed, any refund consideration will take into account the work already performed and expenses already incurred.
- Third-Party Charges are subject to the refund and cancellation policies of the respective third parties.
Cancellation by Client
Before Service Initiation
If a cancellation request is received before the Company has started providing the relevant Service:
- A refund may be considered depending on the nature of the payment.
- Reasonable administrative, processing, transaction, or other applicable charges may be deducted.
- Any amount already paid to a third party may be excluded from the refundable amount.
Cancellation requests must be submitted in writing through the Company’s official contact details.
After Service Initiation
Once counselling, application processing, documentation review, admission assistance, or other Services have commenced:
- Payments relating to the Services already initiated are generally non-refundable.
- Any work already completed may be deducted when considering an exceptional refund request.
- Costs or charges already incurred on behalf of the Applicant may also be deducted.
After Application Submission
Once an application, document set, registration, or other admission-related submission has been submitted to an educational institution, application platform, or other third party:
- Consultancy or processing fees relating to completed Services will generally be non-refundable.
- Third-Party Charges will be governed by the applicable third-party policy.
- Any refund received from a third party, where applicable, will be subject to that third party’s rules and processing timelines.
Advance Payment Policy
Advance Payments may be collected to initiate or secure counselling, application assistance, documentation support, admission processing, or other Services.
Accordingly:
- Advance Payments are generally non-refundable once the relevant Service has commenced.
- An Advance Payment may be adjusted against the applicable Service charges where agreed.
- Any amount already spent or committed towards third-party services may not be refundable.
- Exceptional refund requests may be reviewed by the Company on a case-by-case basis.
Making an Advance Payment does not constitute a guarantee of admission, seat allocation, scholarship, visa approval, or any particular educational outcome.
Admission and Outcome Disclaimer
Best MBBS Abroad provides educational counselling and admission assistance but does not control the decisions of universities, medical colleges, admission authorities, regulatory bodies, government authorities, or other third parties.
Therefore, refunds will not ordinarily be provided solely because of:
- Admission rejection
- Failure to meet an institution’s eligibility criteria
- Non-availability of seats
- Change in admission requirements
- Change in course or university preference
- Change in country or destination preference
- Scholarship rejection
- Visa or immigration refusal
- Change of personal plans
- Failure to travel or proceed with admission
- Change of mind after Services have commenced
The Company’s role is to provide consultancy and assistance, and not to guarantee a particular admission or educational outcome.
Third-Party Payments
Payments made directly or indirectly to third parties may include:
- University or college application fees
- Registration fees
- Processing charges
- Institutional deposits
- Examination or admission charges
- Government or regulatory charges
- Payment gateway charges
- Other third-party service charges
Such payments are subject to the policies of the respective third party.
Best MBBS Abroad cannot guarantee a refund of Third-Party Charges where the relevant third party does not provide a refund.
Where a third party approves a refund, the amount received by the Company, if any, may be passed on to the eligible Applicant after applicable deductions and processing requirements.
Service Dissatisfaction
We aim to provide professional and transparent educational consultancy services.
However, dissatisfaction with counselling, university selection, application outcomes, admission decisions, timelines, or other external outcomes does not automatically create an entitlement to a refund.
Where appropriate, the Company may review the concern and provide clarification, corrective assistance, or reasonable support within the scope of the Service.
No refund shall be automatically payable merely because an Applicant’s expectations or preferred educational outcome are not achieved.
Exceptional Refund Cases
Refunds may be considered in exceptional circumstances, including:
- Duplicate payment made due to a genuine transaction error
- Payment received where the relevant Service could not be initiated due to the Company’s inability to provide that specific Service
- Verified technical or payment-related errors
- Other exceptional circumstances considered appropriate by the Company
Any exceptional refund request may require:
- A written refund request
- Proof of payment
- Relevant supporting documents
- Verification of the circumstances
- Sufficient information to assess the request
Approval of an exceptional refund request is subject to applicable law and the Company’s review of the circumstances.
Refund Processing Timeline
Where a refund has been approved:
- The refund will generally be processed within 15–30 working days from the date of approval.
- Refunds will normally be made through the original mode of payment, wherever reasonably possible.
- Bank processing time, payment gateway delays, or other third-party processing delays may affect the actual time taken for the amount to appear in the customer’s account.
- Applicable transaction, payment gateway, administrative, or other non-recoverable charges may be deducted where permitted.
The refund processing period begins after the Company has approved the refund, not necessarily from the date on which the cancellation request is submitted.
Non-Refundable Components
Subject to applicable law and any specific written commitment made by the Company, refunds will generally not be provided for:
- Consultancy or counselling Services already utilized
- Application processing Services already performed
- Documentation review or preparation Services already completed
- Services that have already commenced
- Third-Party Charges that are non-refundable
- Application or registration fees paid to external institutions or platforms
- Government or regulatory charges
- Payment gateway or transaction charges that cannot be recovered
- Promotional or specially discounted Services, where separately stated
- Services completed before the cancellation request
- Costs incurred by the Company on behalf of the Applicant
Cancellation Due to Client-Supplied Information
Applicants are responsible for providing accurate, complete, genuine, and valid information and documents.
No refund may be provided where a Service is delayed, rejected, cancelled, or otherwise affected because of:
- Incorrect information
- Incomplete information
- False or misleading information
- Forged or altered documents
- Expired documents
- Failure to provide required documents
- Failure to meet application deadlines
- Failure to respond to required communications
- Failure to follow reasonable instructions provided by the Company
Any costs already incurred in such circumstances may remain payable by the Applicant, subject to applicable law.
Cancellation or Non-Completion Due to External Circumstances
Certain circumstances outside the reasonable control of Best MBBS Abroad may affect the delivery or completion of Services.
These may include:
- Government or regulatory changes
- Changes in admission policies
- Changes in eligibility requirements
- Institutional decisions
- Changes in application procedures
- Technical failures of third-party systems
- Government restrictions
- Natural disasters
- Public emergencies
- Other circumstances beyond the reasonable control of the Company
In such circumstances, the Company will make reasonable efforts to assist the Applicant, subject to the availability of alternatives and applicable third-party policies.
Refunds, where applicable, will be determined based on the Services already provided and amounts recoverable from relevant third parties.
Client Responsibilities
Students, Applicants, Parents, and Guardians are responsible for:
- Providing accurate information and genuine documents
- Making payments within applicable timelines
- Completing required documentation
- Responding to communications within reasonable timelines
- Following application and admission requirements
- Reviewing information before submission
- Informing the Company promptly about any change affecting the application
Failure to fulfil these responsibilities may result in delays, cancellation, rejection, or additional costs and may affect refund eligibility.

The request should include:
- Applicant’s full name
- Registered phone number or email address
- Payment details or transaction reference
- Service for which the payment was made
- Reason for cancellation or refund request
- Supporting documents, where applicable

Jurisdiction
This Refund & Cancellation Policy shall be governed by and interpreted in accordance with the applicable laws of India.
Subject to applicable law, any dispute, claim, or matter relating to payments, cancellations, or refunds shall be subject to the jurisdiction of the competent courts in Kolkata, West Bengal.
